11.1 How to use formulas in workflows?

Learning Objectives:-

This unit describes:-

  • Describe what is a formula in the workflow.

Introduction:-

Skyvva provides a workflow feature to insert data on the basis of its condition. Skyvva workflow rule defines Rule and Condition-based processing for interfaces.

What is the workflow?

Workflow is used to record data (messages) to insert to the specific target base on condition. You set the condition to determine which interface you want your message to go through. You have to remember if your workflow doesn’t meet any condition they will remain pending. However, the pending message will delete if you check flag the Filter Message.

What is a formula in the workflow?

Formula (function) in the workflow is used to return the result to compare one function to other functions or fields. Each function has different roles.

Pre-requisite:-

Before creating a workflow, we have to know some rules:-

  • Sequence:- It an order number to define workflow
  • Condition Active:- When you check this flag it means you allowed to use condition
  • Filter Messages:- It’s a checkbox. If the workflow doesn’t meet any condition, the pending message will be deleted, in case, you checked this flag. If not, the messages will remain on the message board.
  • Interface Source:- It a source of one object which you want to set the condition with.
  • Target:- The target you set to determine messages to go to. The workflow will push the messages to that field of the object.
  • Check Next:- When you check this flag it means you want the workflow to check the next condition.
  • Condition:- It is a box where you input condition in.

How to create workflow?

In this section, we assume that Integration and Interface are already created (To see how to create and configure Skyvva Integration/interface please check the document “SkyvvaIntegration/Interface“).
After getting to know some rules of workflow it will be easy for you to create it. To create a workflow, there are some steps must be followed:

– Check the flag on Condition Active and Filter Message
– Choose Interface Source and Interface Target
– Choose Operation Type
– Check the flag on Check Next

How to use a formula in a workflow?

There are lots of functions you can choose to do in the workflow. However, this documentation will be explained two specific functions which are:

– VLOOKUP
– IF

VLOOKUP Function:-

VLOOKUP function is used to retrieve a field value from a custom/standard object. You can use this function to look up for the value of the field if it is available in Salesforce. The result will be True or False base on the condition you set.

  • Syntax: VLOOKUP(Standard/CustomObjectName,FieldToRetrieve,FieldCondition1,Conditi on1,FieldCondition2,Condition2,…)
  • To set a condition for workflow, you can:
    – Choose function and insert it into the Condition box.
    – Input the Source Fields and Operators
    – Test Formula to see if the result True or False then Save.

IF formula:-

IF function is used to check whether a condition is true and return one value if TRUE and another value if FALSE.

  • Syntax: IF(logical_test, value_if_true, value_if_false)
  • To set a condition for workflow, you can:
    – Choose function and insert it into the Condition box.
    – Input the Source Fields and Operators
    – Test Formula to see if the result True or False then Save.
